12-CREATE A RESERVED SEAT

You must Reserve Seats for individuals who do not and should not have active person records.

You may also Reserve Seats/Fill Reserved Seat to ensure a designated number of seats are available for a target audience with active person records, such as staff from a particular county.

From the Session Attendee List:

  • From the left-side menu, under I Want To:, click on Reserve Seats.

  • On the Reservations screen:
    • Organizational Hierarchy (optional) – You may use this option if reserving seats for a target audience within the OCWTP:

      • Click the magnifying glass  icon.

      • Click on the yellow folder  icons until the hierarchy level for which seats are being held is displayed.

      • Click on the Underlined Hierarchy Level to select.

    • Internal Sponsor * (required) – Assign the individual creating or approving the reservation:

      • Click the magnifying glass  icon.

      • Perform a person search to locate the Sponsor.

      • Click on the person’s Underlined Name to select.

    • Number of Seats * (required):

      • Click in the field and type the number of seats you wish to reserve.

    • Charge Per Seat - DO NOT MAKE CHANGES TO THIS FIELD.

    • Total Charge - DO NOT MAKE CHANGES TO THIS FIELD.

    • Payment Method - DO NOT MAKE CHANGES TO THIS FIELD.

    • NOTES (optional):

      • Click in the field and type the name and contact information (phone or email) of each person for which you are reserving a seat.

It is strongly recommended that at least a name and contact phone number or email address be captured for each training participant. Because there is limited space in the Notes field, it may be necessary to create multiple reserved blocks.

HELPFUL HINT: Reserved seats are much easier to manage if they are created in groups rather than individually.

  • Click  to save the reservation and return to the Session Attendee List.
